Summary of Work
Managing all finance and operations at DIGNITY Kwanza, the Finance and Operations Officer (FAO) guarantees we follow financial policies, streamlines procedures, and makes strategic financial decisions to meet our objectives. Strong knowledge in non-profit financial management—covering areas including budgeting, grant management, and financial reporting—is required for the position. To maintain DIGNITY Kwanza financially strong and sustainable, the FAO works with both outside partners and our management staff. Setting policies, handling donor money, creating financial reports, and simplifying financial data analysis are important responsibilities. Important Accountability
Reporting and Managing Finance
- Lead management team budgeting, forecasting, and financial planning.
- Consolidate internal control and finance policies.
- Check adherence to financial rules.
- Oversaw donor money to guarantee match with grant stipulations.
- Create reports for funders, managers, and stakeholders as well as financial statements.
- Support decision-making with financial analytics.
- Oversaw audits and communicated with outside auditors.
- Oversaw bank reconciliations, watched cash flow, and evaluated financial risk.
- Give program teams financial tools and training.
- Handle benefits administration, accounts payable, accounts receivable, payroll.
- Make sure all of your financial records are current and accurate.
- Support fundraising with financial analysis.
- Oversaw agreements and contract financials.
- Oversee operations, accounting, and financial staff—including interns and volunteers.
- Keep up with best practices and trends in the NGO sector.
- Help create financial plans and organisational budgets.
- Ensure accurate posting of transactions and general ledger maintenance.
- Oversee petty cash management per organizational policies.
Operations Management
- Develop, implement, and refine operational policies to boost efficiency.
- Allocate resources like facilities, equipment, and technology to meet operational needs.
- Oversee operational budgets, aiming for cost-effective resource use.
- Collaborate with HR on staffing, training, and workforce management.
- Support program teams with project planning, execution, and evaluation.
- Coordinate resources for program activities and events.
- Set project timelines and milestones to align with organizational goals.
- Implement risk management policies to protect staff, assets, and reputation.
- Ensure compliance with laws, regulations, and internal policies.
- Regularly review and audit operational procedures to minimize risks.
- Manage administrative and HR functions to keep operations running smoothly.
- Handle organizational contracts, insurance, and vendor relationships.
- Maintain organized records of financial and operational documents.
- Assist with board meeting prep, providing necessary financial reports.
Qualifications and Skills
- Bachelor’s degree in finance, accounting, business administration, or a related field (CPA or similar certification is a plus).
- 3 to 5 years of experience in finance, accounting, or operations, ideally in non-profits.
- Skilled in accounting software and Microsoft Office, especially Excel.
- Strong knowledge of financial regulations and compliance.
- Familiarity with non-profit accounting practices.
- Experience with grant management and donor reporting.
- Skilled in budgeting, forecasting, and financial planning.
- Experience managing audits and working with external auditors.
- Ability to develop and implement financial policies.
- Proven ability to manage financial risks.
